How SUNY Cortland transformed its campus store operations with resero Retail Technologies

At SUNY Cortland, where campus pride runs deep and student life is vibrant, the campus store plays a vital role in connecting the community. But for Kimberly Boyce, Operations Manager at SUNY Cortland, managing the store wasn't always smooth sailing, especially when their previous retail system fell short.

Outgrowing the Old System

The journey to find a better retail solution began when SUNY Cortland was transitioned to a cloud-based version of their existing system. Rather than solving long-standing issues, the change created new ones.

“The price of the system and the support we received just didn’t match the value,” Kimberly recalls. “It quickly became clear that we needed to find another provider.”

A breaking point came during one of their biggest sales weekends. Reporting and inventory tracking failed, leaving staff unable to reconcile actual stock with the system’s records. The lack of accurate data meant conducting an unscheduled second inventory count within a year—without the support they needed.

“We just couldn’t rely on the system anymore,” Kimberly explains. “It was costing us time, money, and peace of mind.”

What They Needed in a New Solution

When the search began, Kimberly and her team were clear on what mattered most: accurate, customizable reporting and a system that could reliably track sales in real time.

“We wanted a system that could adapt to our specific needs and help us run the store more efficiently, especially now that we no longer sell course materials in-store,” she says.

Finding the Right Fit with resero and CampusCloud

While comparing systems, resero Retail Technologies stood out immediately. With deep roots in the campus store industry, resero wasn’t just another tech company—it was a partner that understood the nuances of college retail.

“Knowing that the founders came from the campus store world gave us confidence that they really understood what we needed,” Kimberly notes.

Beyond understanding, CampusCloud delivered functionality. Features like powerful reporting tools and real-time inventory visibility addressed the very issues SUNY Cortland struggled with before.

A Seamless Implementation Experience

The onboarding process was refreshingly supportive. resero’s team didn’t just train—they engaged deeply, answering all of Kimberly’s questions, even the “what ifs.”

“The team was incredibly hands-on. No question was too small, and they were always available to troubleshoot. That level of support continues even now,” she adds.

A New Era of Efficiency and Flexibility

Since switching to CampusCloud, SUNY Cortland has seen tangible improvements across the board. Customer interactions are faster and smoother, thanks to the ability to look up items directly at the register. And with the flexibility to use the register on any Wi-Fi-enabled device, the store can now easily operate off-site at events like graduation or sporting games.

“That’s been a game changer,” Kimberly says. “We need much less setup, and even our student employees can handle transactions confidently without constant oversight.”

Smarter Staffing, Happier Customers

One of the biggest operational wins has been in staffing and scheduling. With CampusCloud's intuitive reporting tools, purchasing decisions are data-driven, and fewer staff are needed to run high-volume events.

“Our bigger sales days, like Family Weekend and Open House, have been much smoother. We can operate with fewer registers and still be more efficient,” Kimberly shares. “The stress of scheduling is lower now that anyone on staff can manage transactions easily.”

Looking Toward the Future

With eyes on expanding operations—including the possible return of a campus Convenience Store that accepts dining dollars—SUNY Cortland sees resero as a key player in their continued growth.

“We’re already having conversations about how resero can support this next phase,” Kimberly says.

Advice for Other Campus Stores

For other store managers considering a system switch, Kimberly offers practical advice:

“Ask questions. Spend a full month documenting your day-to-day needs and tasks. This will help ensure you choose a system that truly fits your business.”

Why SUNY Cortland Recommends CampusCloud

Despite being a smaller provider, Kimberly believes resero offers something that many larger systems lack: responsiveness and a genuine desire to improve.

“They’re willing to listen. They make changes that help us do our jobs better. That’s the kind of partner you want.”
